Receptionist/ General Administrator

ENESEL GROUP – Athens

ENESEL, a leading ship management company operating a diverse fleet of 29 modern, high-specification tankers, container vessels, and bulk carriers, is seeking for a dedicated and personable Receptionist/General Administrator reporting to Management to join our team and contribute to the smooth functioning of our office. The ideal candidate will play a crucial role in ensuring smooth day-to-day operations by managing front desk activities and providing administrative support across various departments. This position requires excellent communication skills, attention to detail, and the ability to multitask effectively.

The successful applicant is expected to have adequate and proven experience in similar position, be fluent in English (written and verbal), and have professional attitude and appearance.

Main Duties and Responsibilities:

Front Desk Management:

  • Greet, welcome and direct visitors in a professional and friendly manner.
  • Answer and direct incoming calls promptly and efficiently. Take messages.
  • Maintain a tidy, organized, and presentable reception area.
  • Respond to emails and inquiries in a timely, accurate and professional manner.
  • Distribute information to relevant departments and personnel.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook).
  • Administrative Support:
  • Responsible for electronic registration/distribution of incoming invoices through company ERP system.
  • Assist in general administrative tasks, including data entry, filing, photocopying scanning, faxing and document preparation.
  • Maintaining accounting spreadsheets: invoices/expenses/property budgets.
  • Maintain various department records and files.
  • Update and manage contact databases of both office and fleet.
  • Keep and draft minutes of meeting as requested.
  • Prepare presentations/memos/greeting cards.
  • Answer questions about relevant to her role or office operations procedures, policies, schedules, events, services.
  • Coordinate and schedule appointments and meetings. Update calendars.
  • Ensure relevant files, papers, refreshments etc. are available for the meetings and that meeting room/reception is always tidy and presentable.
  • Manage office supplies (keep inventories) and place orders as necessary.
  • Keep updated records of office expenses and costs.
  • Process various incoming and outgoing documents.
  • Responsible for the renewal of office medical chest and First Aid equipment.
  • Arrange travel, accommodations, and transportations for visitors.
  • Coordinate office events, arrange catering, corporate dinner bookings.
  • Maintain records for petty cash transactions.
  • Arrange for office and equipment maintenance and repairs when required.
  • Ad hoc duties

Qualification & Requirements:

Education & Experience:

  • Bachelor’s degree or equivalent

Technical Skills:

  • Proficiency in Microsoft Office Suite, ERP systems, BI tools, and other professional programs used in our industry.
