Executive Assistant

(Athens)

The Executive Assistant provides high-level administrative support to the executive team, ensuring smooth and efficient operations. This role involves managing schedules, coordinating meetings, handling communications, and performing various tasks to support the executive's ability to lead the organization effectively.

Job Description

  • Work directly with the Managing Director to support all aspects of her daily work routine.
  • Maintain the Managing Director’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (domestic and international) arrangements.
  • Schedule departmental meetings and Management Board Meeting; assist in the preparation and distribution of meeting agendas and materials, keep minutes, appoint tasks ensuring follow-ups.
  • Determine priority of matters of attention for the Managing Director; redirect matters to staff to handle, or handle matters personally, as appropriate.
  • Screen, prioritize, and respond to emails, phone calls, and other communications on behalf of the executive.
  • Draft and proofread correspondence, reports, and presentations.
  • Prepare, reconcile, and submit expense reports.
  • Liaise with internal and external stakeholders, including board members, clients, and other executives.
  • Build and maintain positive relationships with colleagues across the organization.
  • Other additional and alternative duties as assigned occasionally, including supporting other departments or Executives as needed.
  • Project Management: Coordinate work with other staff as needed and play a key role in planning, design, execution, monitoring and closing of corporate events

Candidate’s Profile

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Minimum of 5 years of experience as an Executive Assistant or in a similar role.
  • Excellent organizational and time management skills with a proactive approach.
  • Strong written and verbal communication abilities in Greek/English.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Maintain a high level of confidentiality and discretion in all interactions.
  • Handle sensitive information with care, ensuring data security and privacy.
  • Ability to handle multiple tasks and prioritize effectively.
  • Strong attention to detail and problem-solving skills.
  • Professional demeanor and strong interpersonal skills.
